The client:
EMR Mitrakas is an Albert Park-based practice with a reputation built on close client relationships and detail-driven legal work. Like most law firms, their team runs on time and compliance-sensitive documentation: contracts, correspondence, filings, and records that need to be printed, scanned, and managed every single day.
The project:
The relationship between Copysonic and EMR Mitrakas spans over 20 years and several upgrades. In the early days, a basic black and white photocopier setup covered everything the practice needed. Over the years, the practice grew, the work got more complex, and the need for a major upgrade crept up.
Although printing volumes stayed fairly consistent, the demands on the devices had not. Colour documents, digital workflows, and scanning directly into client folders had all become part of the day-to-day.
As a long-standing player in the legal industry, EMR Mitrakas had one clear priority prior to installation: minimal downtime. In a practice where deadlines are firm and documents cannot wait, any interruption to printing and scanning has a direct impact on client work.
To match the demands of the practice, Copysonic recommended two different Kyocera models. The new dual setup needed to:
- Keep up with a busy legal workflow without interruptions
- Be user-friendly for everyone on the team
- Feel consistent across both devices, even though they were different models
- Have fast, reliable service support if anything goes wrong
The challenge: Because some team members had grown comfortable with the existing setup, the last thing anyone needed was a complicated new system that took weeks to get a grasp of. The transition had to be seamless, and the devices had to feel straightforward from day one.
The solution:
Rather than replacing everything at once, change was introduced in easy, manageable stages to minimise disruption to legal practice.
The smaller Kyocera EcoSys M5521cdw went in first, giving the team time to get comfortable with a new brand and interface before the main device arrived. It also gave one of the key decision-makers at the practice a chance to get hands-on with the device early, which made the customisation process for the main rollout much smoother.
Once the practice had settled in, the Kyocera TaskAlfa MZ3501ci was installed as the primary device. Working closely with upper management, Copysonic customised the interface on both machines to bring the most commonly used functions to the front.
